Weavers Privacy Policy
Weavers (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and disclose information.
Weavers pairs a Weaver (teens over age 14 and young adults, as well as community volunteers and career changers of any age) with a Silver (an older adult, typically age 65+), based on proximity, availability, and interests, for mutually beneficial support. This Policy explains: the types of information we collect through our website and program; how we use and protect that information; the types of information we share with others, and how; the choices you have regarding our collection, use, and sharing practices; details regarding cookies and other tracking technologies; and specific rights for California residents.
This Policy applies to Weavers and our website, available at beaweaver.com, and the program offered there (the “Program”). We sometimes link to other websites or apps that are not Weavers, and our Policy does not apply to those. We advise you to review the privacy policies of any other site or app directly.

1. Information We Collect
Information You Provide
Like any website where a user navigates a page or signs up for a program, we collect, process, and retain information you enter.
If you are a Silver:
- Your full name, email address, phone number
- Your home address, which is used to match you with a nearby Weaver and shared with your matched Weaver
- Your availability, which is used to match you with a Weaver with compatible availability and shared with them as part of communicating the match
- Your interest areas (optional)
- Emergency contact information
- If necessary, we or our background check provider, VolunteerBadge, may request additional information as needed to conduct a background check for participant safety, prior to your participation in the program. VolunteerBadge's background check includes ongoing monitoring for new disqualifying records for as long as you remain an active participant, not just a one-time check at registration.
- Identity verification information (such as a government-issued photo ID), which we or VolunteerBadge use to confirm you are who you say you are before you're matched with a Weaver.
If you are a Weaver (or the parent/guardian of a Weaver under 18):
- The Weaver's full name, email address, phone number
- The Weaver's home address and transportation mode, which is used to match you with a nearby Silver and never shared with anyone, including the matched Silver
- The Weaver's birthdate, used to determine whether parent acknowledgement (if under age 18) or background check (if over 18) is required
- Availability, used to match you with a Silver with compatible availability and interests and shared with them as part of communicating the match
- Your interest areas (optional)
- For Weavers 18 or older: background-check and identity-verification information, as described above for Silvers
- For Weavers under age 18: parent or guardian name, email, and phone number, so we can keep families informed of matches and visit activity
- For Weavers over age 18: emergency contact information
For both Weavers and Silvers, some information is also collected through the course of the Program:
- Post-visit debriefs. After a visit, Weavers and Silvers may answer a short set of questions about the visit, by text or voice recording. This debrief content, and any voice recordings of it, forms part of a Weaver's service transcript.
- THRIVE Interview recordings. With your consent, we record a structured life-conversation interview between Weaver and Silver to generate a personalized portrait document for both participants. We ask before recording, always.
- Research surveys. From time to time, we may invite you to complete optional surveys about your experience in the Program. Participation is voluntary.
- Photos and videos from visits, used on our website, social media, or in materials for partners and funders. For a Weaver under 18, we require a parent or guardian's permission first.
- Orientation completion. We keep a record that this was completed.
- Staff-authored notes about a visit (e.g., visit status, scheduling, coordinator observations).
Information We Collect Automatically
When you interact with our website and Program, we collect certain information about your use of them, including visit timestamps (via check-in/check-out), visit duration, and general site usage. We may also review this information, alongside debrief content, for patterns that could indicate a safety concern; see Section 2 for more detail.
We do not currently use third-party advertising or behavioral-tracking cookies on beaweaver.com. We may in the future use analytics tools such as Google Analytics; if so, we will update this Policy. Most web browsers automatically accept cookies, but you can usually modify your browser settings to disable or reject them.
2. How We Use Your Information
We use the information we collect to: operate the Program, including matching, scheduling, tracking visits, and communicating with you; generate and maintain a Weaver's service transcript; generate THRIVE portrait documents for pairs who consent to a recorded interview; assist matching and analyze post-visit feedback using third-party AI/large-language-model services (currently Anthropic's Claude and OpenAI's ChatGPT) under data-processing arrangements — this AI use is limited to providing the Program to you, and we do not use your information to train AI models, nor do our vendors, absent your separate, explicit consent; verify identity and run background checks (including ongoing monitoring) on Silvers and Weavers 18+ through VolunteerBadge; confirm orientation completion; review visit data alongside debrief content for safety patterns and program evaluation; keep parents and guardians informed; build an evidence base on the Program's impact through optional surveys and research, using de-identified or aggregated data where practicable; quote positive feedback publicly (attributed to first name only); use photos or video from visits on our website and in partner materials (you can withdraw this permission at any time by contacting us); detect and prevent policy violations, fraud, or unsafe/illegal activity; and communicate with you about the Program.
We do not sell your data. We do not use the personal information of minors for targeted advertising, and we do not disclose minors' personal information to third parties for targeted advertising.
3. How We Secure Your Information
We use a combination of physical, technical, and administrative safeguards to protect the information we collect. Because we collect information from and about minors, we maintain security practices designed to protect the confidentiality, security, and integrity of that information, including storing sensitive files (such as debrief voice recordings) in access-controlled storage that cannot be retrieved directly without authorization. While we take these precautions, we cannot guarantee the absolute security of any system we operate or that is operated on our behalf.
4. How We Share Your Information
Outside Vendors
- VolunteerBadge: our background check provider, which also performs identity verification and ongoing monitoring for new disqualifying records.
- Supabase: our database and file storage provider, which hosts participant records, visit data, and debrief recordings in access-controlled storage.
- Twilio: our email and SMS provider, used to send visit reminders and program notifications.
- Anthropic and/or OpenAI: our AI/large-language-model provider(s), used to assist matching, transcribe recordings, and help analyze debrief content into Weaver transcripts.
- Professional services consultants, security vendors, and IT vendors as needed to operate the Program.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We do not disclose a Weaver's home address to anyone, including their matched Silver. We disclose a Silver's home address only to their matched Weaver (and their parent/guardian if under 18). We do not give community partners access to debrief content, recordings, or home addresses.
Contact information between matched participants. In-app messaging isn't available yet, so today we may share a matched Silver's and Weaver's phone number and/or email directly with each other (and, for a Weaver under 18, their parent or guardian) so they can coordinate visits. As we build in-app messaging, we intend to move this coordination into the Service.
Social Media Platforms
Where you choose to interact with us through social media, that platform may collect information about you through its own cookies and tracking mechanisms. Please review the relevant platform's privacy policy.
Law Enforcement, Legal Process, and Emergency Situations
We use or disclose your personal information if required by law, or on the good-faith belief that doing so is necessary to comply with legal process, protect our rights or the Program, or protect the personal safety of Weavers, Silvers, our staff, or the public.
5. Data Retention
We retain personal information only as long as reasonably necessary to fulfill the purposes for which it was collected. We do not retain a minor's personal information longer than reasonably necessary, after which we delete it.
- Account and matching information (e.g., name, age, interests, address): retained while the account is active and for up to 5 years thereafter.
- Visit records, debrief text, and staff notes: retained for up to 5 years.
- Debrief voice recordings and THRIVE Interview recordings: retained for up to 5 years, then deleted or de-identified.
- Background check results (VolunteerBadge): retained only as long as needed, then deleted within 1 year.
- Identity verification records: retained only as long as needed, then deleted within 1 year.
6. Minors' Information
Weavers is intended for participants age 14 and older. We do not knowingly collect personal information from children under 13, and if we learn we have done so, we will delete it.
For Weavers under 18, we ask their parent or guardian to acknowledge the Weaver's participation and our data practices before collection begins. This parental acknowledgement is not a formal consent mechanism under COPPA, since COPPA's verifiable-parental-consent requirements apply specifically to children under 13, which is not our program's intended participant base.
Parents or guardians may review their Weaver's personal information, request that we delete it, or object to further collection or use, at any time by contacting us at safety@beaweaver.com.
7. Users Outside the United States
Weavers currently operates in the United States. If you use our website or Program from outside the United States, your information will be collected, processed, and stored in the United States, where privacy laws may differ from those of your home jurisdiction.
8. Your California Privacy Rights (CCPA/CPRA)
If you are a California resident, the CCPA/CPRA provides you with rights described below. In the preceding twelve months, we have collected the categories of personal information described in Section 1, which may include identifiers, address, correspondence records, internet/network activity, audio information (debrief and THRIVE recordings), and inferences drawn for matching purposes.
We do not sell your personal information and do not share it for cross-context behavioral advertising. We do not knowingly sell or share the personal information of consumers under 16. Subject to certain exceptions, California residents have the right to know and access, delete, correct, opt out of sale/sharing, limit use of sensitive information, and not face discrimination for exercising these rights.

10. Note About Cookies & Tracking Technologies
We currently do not use third-party advertising cookies, web beacons, or behavioral-tracking pixels on beaweaver.com. Most web browsers automatically accept cookies, but you can adjust your browser settings to disable or reject them; this may affect how some features of the site work, but you will still be able to use Weavers. If our use of cookies or tracking technologies changes, we will update this section.
